The problem
Most PTO breaks down the moment your workforce isn't at a desk
Generic HR software assumes every employee has a company email and a manager who happens to know everyone's schedule. Logistics operations don't work that way.
Requests arrive by text message
A driver texts a dispatcher for a day off, and there's no record, no approval trail, and no guarantee anyone else knows about it.
Drivers can't access company HR systems
Most HR software assumes every employee has a company email — deskless drivers usually don't, so they're left out of the system entirely.
PTO balances live in spreadsheets
Manually updated balances drift, conflict, and become impossible to trust the moment more than one person edits them.
Managers approve without checking coverage
A request gets approved by text or email with no visibility into who else is already off that week — until the route is short a driver.
Multiple employees request the same dates
Without a shared calendar, overlapping absences aren't caught until two people are already gone on the same day.
Accrual depends on hours actually worked
Driver PTO often needs to be calculated from real weekly work hours — a case most generic HR platforms don't model at all.
Payroll gets incomplete or delayed information
By the time PTO data reaches payroll, it's been re-typed, re-formatted, or emailed as a screenshot — and something is usually missing.
There's no reliable audit history
When a balance or a decision is questioned, there's no clear record of who approved what, when, or why.
The core idea
Giving employees a simple way to request time off, without leaving operations managers blind to staffing and coverage.
Replace PTO spreadsheets, email chains, and unclear balances with one system designed for drivers, dispatchers, operations managers, HR, and payroll.
Product capabilities
Everything a logistics operation needs to run PTO well
Mobile PTO requests
A real mobile app (not a mobile website) lets any employee submit a request, see their balance, and track its status from their own phone.
Manager approval inbox
A single inbox shows every pending request with the employee's balance, the dates, and any coverage warnings, so managers approve, deny, or partially approve with full context.
PTO balance ledger
Every balance change — accrual, approval, cancellation, manual adjustment — is a single ledger entry. The current balance is always the sum of that history, never a number typed in by hand.
Logistics-specific accrual rules
A weekly work-hour-threshold accrual method calculates driver accrual directly from logged work hours, alongside standard fixed and tenure-based methods for other roles.
Coverage warnings
Configurable coverage rules flag overlapping absences and minimum-staffing risks at the moment a request is submitted or approved — not after the fact.
Audit history
Every request, approval, balance adjustment, and policy change is recorded in an immutable audit log with who, what, and when.
Built for every role
A different view for every part of the operation
Request time off from a phone — no company email required
CDL drivers and other deskless employees sign in with a phone number and PIN, submit a request in under a minute, and always know exactly where it stands.

Not generic HR software
Built specifically for logistics, not adapted from it
FleetLeave was designed around the realities of trucking, delivery, and warehouse operations — deskless drivers, terminal structures, weekly work-hour accrual, and minimum-staffing coverage risk. It isn't a general HR platform with a mobile app bolted on.
- Employees without a company email can still sign in and use the system
- Terminal and location structure built into how PTO and coverage are managed
- Accrual rules that reflect real logistics pay practices, not just tenure
- Coverage risk visible before approval, not discovered after the fact
Coverage warnings
Configurable rules flag overlapping absences and minimum-staffing risk the moment a request is submitted or approved — visible to managers before it becomes a staffing problem, not after.
Logistics-specific accrual
Driver PTO can accrue from real weekly work hours, not just a flat monthly rate — imported from CSV and calculated automatically alongside standard accrual methods for office and warehouse staff.

How it works
From policy setup to an updated balance, in four steps
- 1
Configure teams and PTO policies
Set up your locations, teams, employee types, and PTO policies — including logistics-specific accrual rules for CDL drivers.
- 2
Employees request time off
Employees submit requests from the mobile app or the web — no company email required for drivers and other deskless staff.
- 3
Managers review coverage and approve
Managers see balances, overlapping requests, and coverage warnings before approving, denying, or partially approving.
- 4
Balances, calendars, and history update
FleetLeave updates the ledger, the shared calendar, notifications, and the audit trail automatically — no manual bookkeeping.
Security & reliability
Built with the controls a logistics operation should expect
Role-based access
Every action is checked server-side against the caller's actual role and management scope — never inferred from what a client sends.
Organization-level data isolation
Every record is scoped to its organization at the database query level, so one company's data is never reachable from another's.
Secure credential storage
Passwords and PINs are hashed, never stored in plain text. Mobile sessions use short-lived access tokens with rotating, revocable refresh tokens.
Sensitive-field response protection
API responses are automatically checked to ensure credential hashes and other sensitive fields can never be returned to a client, even by mistake.
Audit logging
Every request, approval, balance adjustment, and policy change is recorded in an immutable audit trail — who, what, and when.
Session controls
Sessions can be revoked per device, refresh tokens rotate on use, and reused or stale tokens are treated as a signal to revoke access.
FleetLeave is designed with role-based access, tenant isolation, audit history, and secure authentication controls. We do not claim SOC 2, HIPAA, or ISO certification — we'll tell you plainly if and when that changes.
